Executive Assistant/Office Manager

REPORTS TO: Managing Director

LOCATION: Manchester office

Permanent / full time hybrid working: 3 days per week in the office (Tues-Thurs), 2 days from home (Mon and Fri)

Salary: Up to 40,000 FTE, dependent on experience

We’re looking for an experienced, organised and enthusiastic Executive Assistant/Office Manager to support the Management team, the Manchester office specifically, and the wider business.

We’ve built businesses to support the gaps in the market and now Property Hub Invest has an enviable reputation, working with housebuilders and developers across the UK to deliver off-market buy-to-let opportunities to our clients.

THE ROLE

You will be the glue that holds us together. You’ll be working closely with the Managing Director and ensuring all administrative functions run smoothly. You’ll be immersed with our team in Manchester while also supporting our remote colleagues too.

  • Welcoming guests and being the “go-to” person for internal customers for general office requirements
  • Organising staff conferences, celebrations and catering requirements
  • Booking meeting rooms, accommodation and travel arrangements
  • Taking meeting minutes and distributing actions (and holding those accountable)
  • Managing post and deliveries, both inbound and outbound
  • Ordering and managing office supplies and equipment whilst managing petty cash and expenditure records
  • Managing document production - particularly presentations – and ad hoc admin requirements
  • Assisting with recruitment: advertising roles and screening CVs as well as organising interviews. Onboarding, particularly with coordinating new starter inductions
  • Coordinating our charity work supporting our charity committee by assisting with organising charity donations and events
  • Managing utilities and recycling arrangements, office access, security and Health & Safety requirements, liaising with landlords, cleaners and other suppliers

We’re looking for a one in a million Executive Assistant/Office Manager with a bright, welcoming personality and a willingness to get stuck in and get stuff done.

  • You’ll be as cool as a cucumber and not fazed by a last-minute request or task. You’ll be a confident problem solver with a knack for thinking outside of the box.
  • You’ll be a positive and assertive individual who is able to influence and build relationships at all levels.
  • You’ll have an incredibly strong administrative background and have the ability to manage conflicting priorities to meet tight deadlines with a “can-do” attitude.
  • You’ll be able to maintain confidentialty at all times, with all stakeholders across the business.
  • We have high standards, so you’ll have an impeccable eye for detail and a very strong work ethic, making sure all tasks are completed on time and to the high standard expected. You’ll also be highly customer oriented, delivering exceptional service to customers and colleagues alike.
  • Experience of planning and managing events would be an advantage, and if you have been involved in an office expansion or relocation, that would be amazing!
